Refund Policy for Payroll, EOR & HR Services in Bangladesh
This Refund Policy explains when PayrollBangladesh (PayrollBD) refunds a service fee, which amounts cannot be refunded, and how to make a claim. The most important rule is the 7-day deadline: all refund claims must reach us by email within 7 days.
All refund claims must reach us by email within 7 days of the date the service was taken. Claims received after day 7 cannot be accepted.
All Refund Claims Must Reach Us by Email Within 7 Days
The 7-day window protects both sides. Payroll, tax deposits and government fees move quickly, and an early claim lets us check the facts while the records are fresh.
Important: your refund claim must reach info@payrollbangladesh.com within 7 calendar days of the date the service was taken. After day 7, no refund can be issued for that service, and no exceptions are made.
The 7 days include weekends and public holidays.
Phone calls, chat, social media messages and verbal requests do not count as a claim.
The time your email arrives on our mail server decides whether the claim is in time.
For monthly services, the 7 days run separately from the date of each cycle.
Scope of This Refund Policy
This policy covers every PayrollBangladesh service, including payroll outsourcing, Employer of Record, PEO, Agency of Record, HR, recruitment, tax and compliance support.
Date the service was taken
The earliest of the date we delivered the service, started the work or made it available to you. For a recurring service, each monthly cycle has its own date.
Service fee
Our own charge for the work, shown as a separate line on your invoice. Only service fees can be refunded under this policy.
Pass-through amounts
Money we collect from you and pay on your behalf, such as salaries, taxes, provident fund contributions, government fees and third-party charges.
Your signed agreement comes first. If your Service Agreement or written quotation has its own refund terms, those terms apply to that engagement. See also our Terms and Conditions.
What Can and Cannot Be Refunded
A claim must arrive within 7 days and be upheld after review. Even then, money that has already left our hands to pay people or the government cannot be returned.
Service fees, when the claim is upheld
- A service you paid for that we did not deliver
- A duplicate payment or a billing error
- A charge for a service you did not order or authorise
- A clear shortfall against your quotation or agreement that we caused
- An engagement you cancelled in writing before any work began
Pass-through amounts and late claims
- Salaries and benefits already paid to employees
- Tax, provident fund and other statutory amounts already deposited with the National Board of Revenue or other authorities
- Government fees already paid, such as work permit, visa, registration and filing fees
- Third-party costs incurred on your instructions
- Work already performed, in proportion to how much was completed
- Problems caused by incorrect or late information or approvals from your side
- Any claim that reaches us after day 7
Why pass-through amounts are not refundable: once we pay a salary to an employee or deposit tax with the government, the money is no longer with us. That is why every invoice shows our service fee separately from pass-through amounts.
How to Make a Refund Claim
Send one email to info@payrollbangladesh.com within 7 days. Including the five items below lets us review your claim quickly.
- Company name and the name of the authorised person making the claim
- Invoice number and the payment date
- The service and the date it was taken
- What went wrong, explained clearly
- Supporting evidence, such as emails, reports or bank records
If something is missing, we will tell you what we need. Information you send later does not cancel a claim whose first email reached us within the 7 days.

How We Review and Pay Refunds
Every claim follows the same five steps, and you receive our decision in writing.
We confirm receipt and record the date and time your email arrived.
We check the claim against your agreement, invoice, the work done and your evidence.
If needed, we ask questions or request more documents.
We uphold, partly uphold or decline the claim in writing, with our reasons.
Approved refunds are paid using the method described below.
| Refund detail | How it works |
|---|---|
| Payment method | To the original payment method, in the original currency (USD or BDT) |
| Partial refunds | A proportionate amount for undelivered work, with the calculation shown in our written decision |
| Deductions | The value of work already performed is deducted. Bank charges, remittance fees and currency differences are borne by the party that incurs them. |
| Who receives the refund | Only the company that paid the invoice, never a third party |
Cancellations, Chargebacks and General Terms
Cancelling a service is different from claiming a refund. These rules explain how the two connect.
Cancelling a service
Notice periods and final invoices follow your Service Agreement and our Terms and Conditions. Fees for cycles already delivered stay payable. Cancelling does not create a refund for past cycles, and the 7-day rule still applies to each cycle.
Chargebacks
Please raise any payment dispute with us by email first. A bank chargeback started without a claim may lead to services being paused, and it does not extend the 7-day window.
General terms
This policy is governed by the laws of Bangladesh. The version published when you engage a service applies to that engagement. If any part cannot be enforced, the rest still applies. The English version prevails over any translation.
Refund Policy: Frequently Asked Questions
Short answers to the questions clients ask most about refunds, deadlines and pass-through amounts.
What is the deadline for a refund claim at PayrollBangladesh?
All refund claims must reach us by email at info@payrollbangladesh.com within 7 calendar days of the date the service was taken. After day 7, no refund can be issued for that service.
Can I request a refund by phone or WhatsApp?
No. Only an email to info@payrollbangladesh.com counts as a refund claim. Phone calls, chat, social media and verbal requests do not start a claim.
Are salaries and taxes refundable?
No. Salaries and benefits already paid to employees, taxes and provident fund amounts already deposited, and government fees already paid cannot be refunded, because the money has left our hands.
What can be refunded?
Our service fee can be refunded, in full or in part, for a service paid but not delivered, a duplicate payment or billing error, an unauthorised charge, a shortfall we caused, or an engagement cancelled in writing before work began.
What should a refund claim email include?
Your company name and authorised person, the invoice number and payment date, the service and date taken, a clear explanation of the problem, and supporting evidence.
How is an approved refund paid?
To the original payment method and in the original currency, USD or BDT. Bank charges and currency differences are borne by the party that incurs them.
Does cancelling a monthly service give me a refund?
No. Fees for cycles already delivered remain payable. You can still claim a refund for a specific cycle if you email us within 7 days of that cycle.
Does my signed agreement override this refund policy?
Yes. If your Service Agreement or written quotation has its own refund terms, those terms apply to that engagement.
